Position Description

Collates purchase orders and purchase requisitions in order to order materials, goods and supplies

Duties and responsibilities:
Review and process purchase requisitions submitted by departments/entities
Assist departments/entities in product search, obtaining price quotes and product availability, orders materials, goods and supplies.
research potential vendors; compare and evaluate offers from suppliers; Negotiate contract terms of agreement and pricing
Obtain proper information and/or data regarding invoice payments
Review invoices and requisitions for satisfactory payment approval
Check vendor files for any previous payments and assign voucher numbers
Maintain copies of vouchers, invoices or correspondence necessary for files
Prepare vouchers listing invoice number, date, vendor address, item description, amounts and coding per accounting policies and procedures
Type periodic reports and other records
Protects organization's value by keeping information confidential.
Interact with the suppliers on a day to day basis.
Review deliveries against the orders.
Track the status of any orders.
Deal with non-supplied, under orders, over orders and damaged goods
General office duties; assist other departments, as needed
Must work well without direct supervision
Ability to work in a high-pressure environment and able to multi-task

Qualifications:
Proven working experience as purchasing clerk and/or purchasing agent in manufacturing industry; aerosol/chemical industry preferred
Solid understanding of basic accounting principles, fair credit practices and collection regulations
Proven ability to calculate, post and manage accounting figures and financial records
Data entry skills
Hands-on experience in operating spreadsheets and accounting software
Proficiency in English and in MS Office, QuickBooks; COMPUTER LITERATE A MUST!
Effective corporate communications skills; Customer service orientation and negotiation skills
Excellent attention to detail
Strong organizational ability
Ability to consistently meet all deadlines ; Able to work under time constraints
Dependability a must; Able to work without direct supervision
High school diploma or equivalent; college degree or Trade school graduate preferred
Able to speak, read and write in English, fluently
Pass pre-employment drug screening and physical exam.
Must demonstrate good interpersonal skills and teamwork awareness
